The document set is huge, the tender window is short, and every day measuring is a day off site

Ninety-odd sheets of drawings, a schedule with a hundred-plus lines, and twelve working days to respond. Every day you spend measuring is a day you are not on site, and the RFI window will close before you have finished reading the conditions.

Quick answer: This page is for tenderers whose real constraint is the clock: windows too short for the size of the document set, RFI deadlines that pass unread, and takeoffs that eat the exact week the live jobs need most. Trueworks compresses the document-heavy front end of a tender response. We read the full set and send risk flags within days — early enough to lodge RFIs — then build the takeoff and bill of materials while you keep running jobs, and draft qualifications from the gaps as we find them. Your week goes into the decisions only you can make: supplier calls, rates, and the margin call. Turnarounds are indicative and confirmed at intake against your close date; if the window cannot be met with quality intact, we say so up front. First packet at no charge, NDA available.

If this is your week

  • The drawing set runs to 90-odd sheets and the tender closes in a fortnight.

  • The RFI window shuts before you have finished reading the conditions of contract, let alone the specification.

  • Late pricing means no time to check your own arithmetic, let alone query the gaps.

  • You have skipped tenders where the job was right and the window was wrong.

  • The takeoff lands on the exact week your current jobs need you most.

  • The last price you rushed is the current job that keeps surprising you.

What we actually do for you

We split the tender response into parallel streams. The document-heavy streams come to us: reading the full set, flagging clause traps and missing information early enough to lodge RFIs, building the takeoff and bill of materials, and drafting a qualifications register from the gaps as they surface. The judgement streams stay with you: supplier relationships, the rates you know better than anyone, and the margin call. The compression comes from working in parallel and to a stated method — not from skipping steps. Every number that reaches you carries its basis — speed that cannot show its working is guessing sooner.

The early risk-flag memo is the piece most tenderers have never had. Instead of discovering the ugly clause or the undrawn scope on the last weekend, you get the flags inside the first few days — while the RFI window is still open and walking away is still a decision rather than a sunk cost.

Indicative turnarounds, honestly stated:

| Work | Indicative turnaround | | --- | --- | | Quote or tender document review with risk flags | within 24 hours; first flags usually earlier | | Takeoff and bill of materials, mid-size single-trade package | days, not weeks — confirmed at intake | | Full tender pricing pack (takeoff, bill, build-ups, qualifications) | scoped per job before we start |

These are ranges, not promises. The close date is the first thing we ask for; the delivery plan, including clear days for your own review, is agreed before work starts.

Pricing a tender right now? Send the pack — take-off checked, rates benchmarked, risks flagged, in writing, within 24 hours. Send us the drawings and the quote or tender pack. We return a code-cited review packet within 24 hours. No charge for your first packet. NDA available, NZ-hosted processing. → Get the free check at trueworks.co.nz/contact — or email hello@trueworks.co.nz

Try it on a live job

How it works

  1. Send the pack and the close date. The full set as issued — drawings, specification, schedule, conditions — and any addenda as they land. The close date decides the plan, and we confirm what is achievable before starting.

  2. We work the front end while you keep running jobs. Risk flags are sent as they are found, not held for the report. The takeoff and bill build in parallel, with queries batched, early, and once.

  3. You spend your week on the decisions. The pack lands with agreed clear days before close, so your time goes on the rate decisions and the margin call, not the measuring.

What lands back on your desk

  • An early risk-flag memo: clause traps, missing information, and RFI candidates, sent as found

  • The takeoff and bill of materials in working spreadsheet form, measurement conventions stated

  • A gap register: what the documents do not show, priced as risk ranges

  • A draft qualifications and exclusions register built from that gap register

  • The review packet itself — code-cited, in writing, with the basis of every number stated

Where this catches real problems

The conditions review is what short windows squeeze out first. The 13-point civils tender risk register came out of exactly this kind of pass — a structured read of the documents under NZS 3910 conventions that turned a pile of unread conditions into a priced and tagged list before submission.

Speed pressure is also how spreadsheet errors survive to submission. A pre-tender audit caught the broken-reference error that nearly mispriced the deepest pipe run — a rate calculator quietly pulling from the wrong row. Invisible in the total, expensive underground, and exactly what never gets checked when the takeoff finishes the night before close.

And the fastest takeoff is worthless if the documents themselves are short. A cross-check of the civil scope against the consented documents found a five-figure item the drawings did not show — stormwater attenuation the design implied but never drew. Found in the front-end review, it became a tagged line in the price; found after award, it becomes a fight.

FAQ — fast tender turnaround

Q1: How fast can you actually go? It depends on the package, and we will not pretend otherwise. Document review with risk flags returns within 24 hours, first flags usually earlier. A mid-size single-trade takeoff and bill typically runs days, not weeks. The plan is confirmed at intake against your close date, before you commit anything.

Q2: The tender closes in under a week. Is it worth sending? Send the close date and the document list before anything else, and you get a straight yes or no the same day. Sometimes the honest answer is a reduced scope — risk flags and a gap register on the whole set, full takeoff on the biggest trade only. What you will not get is a promise we cannot keep.

Q3: Does the speed cost quality? The speed comes from parallel workstreams and a stated method, not from shortcuts. Every deliverable carries its measurement conventions, sources, and assumptions, and the pack is audited before it reaches you. Where time runs out, the packet says which items got the full treatment and which carry a flagged range — you always know which is which.

Q4: What about confidentiality under this kind of time pressure? The same as always. NDA available before documents move, files processed on NZ-hosted systems, deleted after 30 days unless you ask us to retain them. Speed never changes the handling.

Q5: What do you need from us to start? The full pack as issued, the close date, and addenda as they arrive. If supplier pricing exists, send it; if not, the bill of materials gives you what you need to brief suppliers days earlier than you otherwise would — often where the recovered week comes from.
