Every trade pricing a job needs the same thing first: an accurate materials list with quantities, measured off the current drawings. That document is the takeoff — and whether it is right determines whether the quote makes margin or funds someone else's variations. Here is how takeoffs work in NZ, the three ways to get one, and the checks that separate a good one from a liability.

Quick answer: A material takeoff is the measured quantification of every material a job needs, taken from the project drawings — framing in lineal metres by member size and treatment class, claddings and linings in m² with wastage, blocks by course and series, cable runs by circuit, fixtures by count. It is the foundation under every quote: rates are public, quantities are where tenders are won and lost. NZ trades get takeoffs three ways — manual measurement (slow, error-prone past one trade's scope), takeoff software (fast once learned, still operator-dependent), or an estimation service (drawings in, measured-and-priced packet back, typically inside a week). A good takeoff names the drawing revision it was measured from, states its wastage factors, separates measured items from provisional allowances, and flags what the drawings do not show.
Material takeoff services NZ — what you are actually buying
Material takeoff, material take-off and quantity takeoff all name the same document: a measured schedule of the quantities a job needs, taken line by line from the current drawings. The spelling varies by trade and by country; the deliverable does not. Most material takeoffs NZ trades rely on are produced one of three ways — measured by hand, measured in software, or bought as a service — and this post prices all three.
The distinction worth understanding before you buy is between a software output and a service deliverable. Software gives you raw measured quantities — accurate to whatever the operator clicked, with no view on what the drawings fail to show. A material takeoff service returns a finished document: quantities measured to a named drawing revision, wastage factors stated per line, provisional allowances separated from measured items, and the gaps in the documentation flagged so they can become your exclusions. You are buying the checking discipline as much as the measurement.
What a takeoff actually contains
A complete residential takeoff is a structured list, not a lump sum. Trade by trade:
Framing: lineal metres by member size, grade, and treatment class (H1.2 framing, H3.2 exterior, per NZS 3604 and NZS 3640), plus fixings, hold-downs, and bracing elements against the bracing schedule
Roofing: sheet m² by profile, underlay, flashings by lineal metre and girth, fasteners by class (AS/NZS 3566), penetration details counted — per the MRM Code of Practice details, not the plan-view area alone
Cladding: m² by system, cavity battens, building wrap, flashing tapes, head/jamb/sill flashings counted per E2/AS1 junction
Blockwork: block count by course, series (20 vs 25), cell fill volume, reinforcement schedule by bar size and spacing (NZS 4229 or the engineer's detail)
Structural steel: tonnage by member with connection counts, bolts by grade, coating system m² by the specified durability category (AS/NZS 2312.1)
Electrical: circuits, points, cable runs by type and length, switchboard ways, penetration fire-stopping counts
Plumbing/drainage: pipe runs by diameter and material, fittings, fixtures, inspection points, and the gravity/pumped split off the engineer's drainage design
Each line carries a quantity, a unit, and ideally the code or detail reference that generated it. The wastage factor sits per line, stated — framing 7-10%, sheet materials 10-15% on cut-up layouts, masonry ~5%, tiles ~10%.
Why the takeoff is where quotes are won and lost
Supplier rates are near-identical across competitors on any given month. What separates a winning, profitable tender from a losing or margin-bleeding one is almost always quantities and boundaries:
An under-measured takeoff produces a low price that wins the job and loses on every delivery
An over-measured one prices you out of work you should have won
An unmeasured allowance ("allow 40 m²") becomes a back-charge argument the day the real number is 56
A takeoff measured off a superseded revision prices a building that will not be built
Industry guidance expects pricing within 10-15% of final cost when information is adequate. The takeoff is where that adequacy is created.
The three ways NZ trades get takeoffs
1. Manual measurement. Scale rule, printed plans, spreadsheet. Workable for a small repeatable scope — a deck, a re-roof, a single-trade renovation. Past that, it is slow (a full house takeoff is days of evenings) and the transcription error rate climbs with fatigue. The hidden cost is the tenders not priced because there was no time.
2. Takeoff software. Digital measurement over PDF plans, with quantity formulas and rate libraries. Fast once learned, and the measurement is auditable. Two honest caveats: the learning curve and subscription are real, and the output is still only as good as the operator's drawing literacy — software measures what you click, it does not notice that the engineer's revision changed the lintel schedule.
3. An estimation service. Drawings and tender documents in; a measured, priced materials-and-labour packet back. Turnaround in NZ runs from days (residential trade scopes) to weeks (full multi-trade measures). Cost typically lands in the hundreds of dollars for a single-trade residential takeoff to low thousands for full-house multi-trade — against an evening rate of zero but a real cost of every error and every tender you never priced.

The five checks before you price off any takeoff
Whoever produced it — you, software, or a service — test it:
Revision named. The takeoff states which drawing revision it measured. No revision, no defence when the drawings move.
Wastage stated. Per-line wastage factors visible, not baked invisibly into quantities you cannot audit.
Measured vs allowed separated. Provisional allowances tagged as such, never mixed silently with measured quantities.
The gaps named. A good takeoff lists what the drawings do not show — the undetailed junction, the missing drainage invert, the bracing schedule still with the engineer — because those become your exclusions.
Reconciles to the documents. Spot-check three lines against the plans yourself. If the block count assumes 20-series and the engineer's detail says 25, stop.
A takeoff that passes all five can be priced from. One that fails two or more is a liability wearing a spreadsheet.
FAQ — material takeoffs in NZ
Q1: What does a material takeoff cost in NZ? Single-trade residential takeoffs from NZ services typically run in the hundreds of dollars; full-house multi-trade measures run into the low thousands, scaling with drawing complexity. Software subscriptions run per month with your time on top. Manual costs evenings and error risk.
Q2: How long does a takeoff take? Manual: days of part-time work for a full dwelling. Software: hours, once proficient. Service: typically inside a week for residential trade scopes in NZ.
Q3: Can I price a job off the architect's areas instead of a takeoff? Plan-view areas ignore junctions, wastage, laps, treatment classes, and everything the details add. Roofing priced off plan area, for example, misses the flashings and penetrations where the labour actually lives. Areas are for feasibility; takeoffs are for pricing.
Q4: Who is responsible if a takeoff is wrong? On your own quote — you. A service's measured packet gives you an auditable document and a named revision, which keeps drawing changes on the variation side of the line, but the pricing decision and the contract are yours. That is also why the exclusions the takeoff generates matter as much as the quantities.
Q5: Do I need a quantity surveyor for a takeoff? No — a takeoff is measurement and document work, not a certification. You need a registered QS where a third party requires the signature (bank lending reports, formal expert evidence).
